If you want to change your email signature in Outlook or create a new one, it’s very easy. The function is somewhat hidden, but can be found quickly
How to change your email signature in Outlook
Signatures are always important for emails when you are communicating on business. A signature not only contains your name, but also contact details such as email, telephone and address. If you already have a signature in Microsoft Outlook, you can change it at any time. To do this, proceed as follows.
- Open Outlook and click on “File” in the top left-hand corner.
- Then select “Options” in the sidebar.
- In the new window, click on “E-mail” on the left.
- Under the “Compose message” section, you will find the “Signatures…” button
- A new window opens in which your existing signatures are displayed at the top left. Select the signature you wish to change
- You can now edit and format your signature as you wish in the lower text field. Then confirm the changes with “OK”. The changes have been applied
- There is another, shorter way. To do this, open a new empty e-mail. A new window will open. Click on the white sheet with the blue pen for “Signatures” at the top of the bar. This will open the small window with your existing signatures, which you can select and edit there again.
Create new signatures in Outlook
If you do not yet have an Outlook signature or want to create a new one, proceed in a similar way.
- In Outlook, select the path “File” ☻ “Options” ☻ “E-mail” ☻ “Signatures…” again. A new window opens in which you click on “New”
- Enter the name of your signature.
- You can now enter your signature in the text field below and format it as you wish.
- At the top right, select the email account to which the signature is to be applied. You can also specify whether you only want to apply the signature to new messages or also to replies and forwards. Finally, confirm with “OK”
